Privacy Policy
On the Books · Effective October 2, 2026
On the Books is a booking app for barbers. It is operated by Technarit LLC, a Wyoming limited liability company ("we", "us"). This policy explains what information we collect, why, who we share it with, how long we keep it, and how to have it deleted.
It covers two groups of people:
- Barbers, who create an account in the On the Books Android app.
- Clients, who book an appointment with a barber through the barber's public booking page. Clients do not create an account and do not install anything.
1. Information we collect
From barbers
- Account details: email address, password, business name, and time zone. Your password is stored only as a one-way hash; we cannot read it.
- Shop details you choose to add: phone number, a short bio, a link to a photo you host elsewhere, your services and prices, your working hours, and times you block off.
- Your appointment book: the appointments you and your clients create, and how you mark them (completed, no-show, cancelled).
- Notes you write about clients. These are private to you.
- Notification settings and a push token, if you allow notifications, so we can send booking alerts to your phone.
- Subscription status from Google Play: which plan you are on, whether you are in a free trial, when it renews or ends, and Google's purchase reference. We never see your card or payment details; Google handles payment.
From clients (entered when booking)
- Name and phone number, and the appointment (service, date and time).
- The internet (IP) address your booking was made from. We use it only to limit how many bookings one connection can make in an hour, which protects barbers from fake bookings.
- A private cancellation link is created for each booking so you can cancel it yourself.
A barber can also enter a client's name and phone number directly, for example when the client calls the shop.
What we do not collect
In the app and on booking pages, we do not use advertising, analytics or tracking tools, and we do not set cookies. We do not collect location, contacts, photos or files from your phone.
Our website
Our website is https://www.onthebooksapp.com. It is hosted on Firebase Hosting, a Google service.
If you join the waitlist on the website, we collect your email address, your business name (if you give it) and whether you use an Android phone or an iPhone. We store this in our own database and use it only to tell you when On the Books launches. To be removed from the waitlist, email hello@onthebooksapp.com.
The website does not use analytics and does not set cookies. It loads its fonts from Google Fonts, so your browser contacts Google when you open it.
2. How we use it
- To run the service: show the barber their calendar, let clients book and cancel, and show the barber's booking page.
- To send account emails you ask for: confirming your email address and resetting your password.
- To send booking notifications to the barber's phone (new booking, client cancellation, visits to mark, setup reminders). These show a client's first name and the appointment time, never a phone number.
- To check and manage your subscription with Google Play.
- To keep the service secure and prevent abuse (for example, rate limits and spam checks on the booking page).
Text-message reminders are sent by the barber, not by us. The app opens the barber's own messaging app with a reminder already written. The barber decides whether to send it, and it goes from the barber's own phone number. We do not send text messages.
We do not sell personal information, and we do not use it for advertising.
3. Who we share it with
We use these service providers to run On the Books. They process information only on our behalf:
| Provider | What it does | Information involved |
|---|---|---|
| Supabase | Database hosting (United States) | All the information above |
| Render | Runs our server | Information passing through the server; server logs |
| Resend | Sends our account emails | Barber's email address and the email's content |
| Expo and Google (Firebase Cloud Messaging) | Deliver notifications to the barber's phone | Push token, notification text |
| Google Play | Subscriptions and payments | Purchase and subscription records; Google's own privacy policy applies to your Google account |
| cron-job.org | Wakes our server on a schedule to send notifications | No personal information |
| Firebase Hosting (Google) | Hosts our website | Your browser's requests for the website's pages, including your IP address |
| Google Fonts | Fonts on our website | Your browser's request for the fonts, including your IP address |
The barber's photo is a link the barber provides to an image hosted elsewhere. When a client opens the booking page, their browser loads that image directly from that website.
We may also disclose information if the law requires it, or to protect the rights and safety of our users or others.
4. How long we keep it
- Barber accounts and everything in them (services, hours, appointments, client names and phone numbers, notes) are kept until the barber deletes the account.
- Client information is part of the barber's appointment book. It is kept until the barber deletes the account, or until we delete it at the client's request (see section 5).
- Booking IP addresses are deleted 30 days after the booking is made.
- Subscription records: when an account is deleted, we keep a minimal record of past purchases (plan, dates, status) with nothing linking it to the person, for 7 years, for tax and accounting.
- Server logs are kept by our hosting provider for 7 days.
- Emails and push tokens are removed with the account.
- Waitlist signups are kept until you ask to be removed, and the list is deleted once launch announcements are finished (at most 24 months).
5. Deleting your information
Barbers: in the app, go to Shop settings → Delete account. You can also start a deletion request on the web at https://onthebooksapp.com/account/delete. Deleting an account permanently removes the shop, its booking link, its services, hours, appointments, client details and notes, and cancels any Google Play subscription.
Clients: you can cancel a booking with the link you received. To have your name and phone number removed, ask the barber, or contact us at the address below and we will remove them from that barber's records.
You can also ask us what information we hold about you, or ask us to correct it, using the contact details below.
6. Security
Connections to the app and the website are encrypted (HTTPS). Passwords, and the links used to reset a password or confirm an email address, are stored only as one-way hashes. Access to the database is restricted to our server. No system is perfectly secure, but we work to protect your information.
7. Children
On the Books is a tool for businesses and is not directed to children under 13. Barbers must be adults. We do not knowingly collect personal information from children under 13. A parent or guardian may book an appointment for a child; if you believe a child has given us information directly, contact us and we will delete it.
8. Where information is stored
Our providers store and process information in the United States. If you use On the Books from another country, your information is transferred to the United States.
9. Changes to this policy
If we change this policy, we will update the date at the top. If a change is significant, we will tell barbers in the app or by email before it takes effect.
